Agora Energiewende is an independent and non-partisan energy transition think tank with about 180 employees based in four locations worldwide: Berlin, Brussels, Beijing, and Bangkok. As an international organization, we provide expert analyses that support the energy transition in about twenty countries, working closely with our local partners. We combine research, dialogue, and public relations in our daily work. Importantly, we operate independently, free from economic or party-political interests. Our team is multinational and multidisciplinary, communicates primarily in English, and collaborates with various partners worldwide. 
From our office in central Bangkok, we implement several projects in Thailand and ASEAN countries. Our Bangkok-based office hosts six permanent staff members and several long-term secondments from visiting colleagues each year. To strengthen the office operation in Bangkok, in liaison with our Berlin-based headquarters, we are looking for an
Office Operation Manager Bangkok (f/m/d) Part or full-time (at least 24 hrs)
based in Bangkok
Your responsibilities include
  • Coordinate Bangkok’s office operations in close connection with the central support services in Berlin (Finance, HR, IT).
  • Liaise with relevant Thai agencies and banks to prepare required administrative documents, as well as for reporting and registration purposes.
  • Coordinate with Agora central HR department to ensure that the company's policies comply with Thai labor laws.
  • Potentially act as the legal representative of Agora’s operations in Thailand.
  • Oversee office maintenance and repairs. This includes regular communication with service providers, banks, landlords, and caretakers.
  • Manage the Bangkok office’s operational budget, including tracking office expenses, and process invoices and payments. This includes the preparation of liquidity planning and office procurement planning.
  • Plan and anticipate long-term office operation needs in close relation with Agora’s management board.
  • Coordinate the acquisition of business visas for staff on short stays in Bangkok and work permits for staff working permanently in Thailand.
  • Support staff with Thai social security matters in cooperation with consultants.
  • Support the organization of in-person or remote events.
  • Supervise, guide, and train one administrative staff member, contributing also directly to various administrative tasks (managing calendars and scheduling meetings, handling incoming and outgoing correspondence).
  • Ensure a pleasant team environment in Bangkok by initiating occasional team activities from time to time.

We are looking for
  • Extensive professional experience in office operations, with strong commercial and administrative knowledge and skills.
  • Experience in project management, accounting, and managing grants is an advantage.
  • Knowledge of Thai labor laws and visa regulations is a plus.
  • Proficiency in Thai and English, both written and spoken, is required. Proficiency in German and other languages is an advantage.
  • Structured and detail-oriented approach to work, with the ability to multitask.
  • Strong problem-solving and decision-making skills with a high degree of initiative.
  • Proficiency in Microsoft Office Suite.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Experience working in multicultural teams.
